This Privacy Notice (the “Notice”) outlines how Hale Staffing Ltd collects, uses, processes, stores, and discloses personal data about individuals. This includes information collected when you register with us for job placement services, use our website, or apply for a position. The types of personal data we collect are detailed in the section “Your Personal Data and How We Collect It”.

It is important that you read this Notice together with any other privacy notices we may provide on specific occasions when we collect or process personal data about you. This Notice supplements other notices and is not intended to override them.

By using our website, you agree to the following:

Access to Services: We provide access to job listings, company profiles, and other recruitment services. You may browse the website without creating an account, but certain features (e.g. applying for jobs, receiving tailored notifications) may require you to submit personal data to us directly (e.g. by sending your CV or booking a meeting).

Accuracy of Information: If you choose to share your details with us (such as uploading a CV or submitting personal data), you must ensure that the information you provide is accurate, current, and complete.

User Content: Any content you submit (e.g. CVs, cover letters) remains your property. By submitting content, you grant us permission to use it to provide our recruitment services, including matching you with relevant job opportunities.

Prohibited Conduct: You agree not to use our website for unlawful, harmful, or fraudulent activities, including uploading harmful software, infringing intellectual property rights, or attempting to bypass security measures.

Registering as a Candidate for Job Placement Services

We do not require you to create an online account. Instead, you can contact us directly by booking a meeting or submitting your CV and relevant details. Once we review your information, we may follow up to assess how we can assist with your job search.

In providing our recruitment services, we may collect data from:

  • Your CV and covering documentation.
  • Employment references and educational history.
  • Online tests or assessments you complete at our request.
  • Interviews (in person, via video, or online).
  • Public social media profiles (e.g. LinkedIn) and information gathered at job fairs, promotional events, and networking sessions.

Your personal data will be securely stored in our candidate database. We may share your data with our clients (located in the UK, Europe, and internationally) as necessary to match you with suitable job opportunities. Clients may request additional information to support their hiring decisions.

Our recruitment consultants may send you job alerts based on your preferences and qualifications. You can opt out of these alerts at any time by using the unsubscribe link in the email.

Applicants for Employment Roles with Our Employer Clients

When you apply for a role, we collect personal data from various sources (e.g. CVs, interviews, references, online assessments) to evaluate your suitability for positions, manage the recruitment process, and maintain communication with you.

Your data is stored securely in our recruitment database, accessible only to authorised personnel, such as recruitment consultants, HR team members, and hiring managers. With your consent, we may share your personal data with employer clients in the UK, Europe, the US, or other international locations as part of the recruitment process. All data sharing is subject to appropriate safeguards.

If we engage third-party service providers for background checks or assessments, we will inform you and obtain your consent where required. These providers must comply with data privacy laws and keep your personal data confidential and secure.

If your application is unsuccessful, we will retain your personal data for six months to ensure a fair recruitment process. After this period, your data will be deleted. If we believe you may be suitable for future roles, we may ask for your consent to retain your CV for up to 12 months. You can withdraw your consent at any time.

Special Categories of Personal Data

We may process sensitive personal data (e.g. information about unspent criminal convictions or health conditions) only when necessary and relevant. For example, this may be to assess your suitability for certain roles or to make reasonable adjustments for the recruitment process. If disclosure to a client is required, we will inform you and obtain your consent beforehand. Such data is processed in line with legal requirements and retained only as long as necessary before secure deletion.

Clients, Hiring Organisations, and Suppliers

If you represent a client, hiring organisation, or supplier, we may process personal data about you (e.g. name, business email address, contact details) to provide our services, manage business relationships, and fulfil contractual obligations. We may obtain this data directly from you, your colleagues, public sources, or social media platforms. This processing is necessary for our legitimate interests in managing these relationships.

We may occasionally send marketing emails to business contacts. You can unsubscribe at any time by clicking the unsubscribe link in the email or contacting us at webmaster@halestaffing.com.

International Data Transfers

We may share your personal data with clients or partners located outside the UK or the European Economic Area (EEA), including but not limited to the US and other international jurisdictions. When we transfer personal data internationally, we take steps to ensure appropriate safeguards are in place, such as using standard contractual clauses or complying with recognised international frameworks, so that your data remains protected in line with UK and EU data protection standards.

If you have any questions about how we handle international data transfers, please contact us.

Note: In the event we do so, it will be in relation to an application for which you have been put forward or as part of an organisational requirement where we need to confer across nations.
